Real-estate lead follow-up: no prospect goes cold

Follow-up in a real-estate business has one specific enemy: the prospect who said "not now" and was never contacted again. In housing, "not now" usually means "in a few months", and the buyer ends up buying wherever they were followed. The system makes that follow-up happen without depending on the memory of an agent with a hundred open leads.

Where buyers get lost

  • The portal lead answered late. They compare the most listings; after 24 hours they've already viewed with someone else.
  • The prospect who viewed and didn't reserve. They left "to think about it" and nobody sent the floor plan, the financing or the updated availability.
  • The old lead base. Hundreds of contacts from past developments who could buy in the new phase today and don't know it exists.
  • The unconfirmed viewing. The agent drives to the show home and the prospect doesn't turn up.

What gets automated, in order

  1. Instant reply and qualification for every lead from every source, with budget and timeline recorded.
  2. Cadence by stage. Viewing this week: reminder and confirmation. Prospect with a 3–6 month horizon: a useful message every few weeks (new phase, availability, financing). Browser with no timeline: development news, no pressure.
  3. Post-viewing at 24 and 72 hours with what the buyer asked for, and the option of a second viewing.
  4. Base reactivation when there's a real reason: new development, price drop, last unit of a type.
  5. Logging and assignment: each lead with its agent, each conversation attached, and alerts when a high-value lead has gone days without a reply.

What gets measured

  • Leads by source and time to first reply.
  • Qualified leads, viewings booked, viewings completed.
  • Second viewings and reservations.
  • Reactivated leads that come back to view.

What stays human

The viewing, the negotiation and the reservation. The system gets the agent to them with more prospects and the context in front of them. It runs on our CRM and lead follow-up and the WhatsApp agent for real estate.

Frequently asked questions

How long should a real-estate lead be followed?

Months. Buying a home is a decision that matures: the prospect who's 'just looking' today buys in six months, and buys where they were followed without being hassled. That's why follow-up is organised by stage, with a different cadence for the person viewing this week and the one buying next year.

What about portal leads that arrive by email?

They enter the same system as everyone else: instant reply, qualification and follow-up. It's the source the buyer compares most and the one most often lost to a late reply.

Does it replace the CRM we already have?

It doesn't have to. If the current CRM works, we connect to it and automate follow-up on top. If nobody uses it — which is usual — we set up a minimal one the team actually opens, with only the fields that get used later.
