Back-office & ERP Automation

We connect AI agents to your ERP so invoices register themselves, payment batches get prepared and alerts arrive on their own. Admin stops eating your afternoons.

Back-office automation connects AI agents to your ERP to execute repetitive administrative work: registering invoices, preparing payment batches, matching documents and alerting when something doesn't add up. The goal is to give your team hours back and reduce errors, with human supervision over every sensitive step.

The problem it solves

In most SMEs, administration eats a huge part of the week: downloading invoices, registering them, chasing payments, preparing batches, matching documents. Necessary work — but repetitive and rule-based, exactly the kind of task where a person adds the least and errs the most at the end of the day.

We know because we live it: at Cargoback, the founder's transport company, these processes run daily on an ERP. That real operating experience —what can be automated, what must stay human and where the traps are— is the foundation of this service.

How the system works

We start with a map of your admin processes: what comes in (invoices, orders, delivery notes, requests), what happens to it and what goes out (payments, collections, reports). Then:

  1. We pick the process with the best return — usually incoming invoice registration or payment batch preparation.
  2. We connect the agent to your tools: your ERP, your email and your supplier/client data.
  3. We define rules and limits: what it registers on its own, what it leaves prepared for your approval and when it alerts a person.
  4. We supervise in review mode until results are validated — only then do we expand to the next process.

What's included

  • Admin process map and prioritisation by return.
  • Incoming invoice registration and classification agent.
  • Payment and collection batches prepared for approval.
  • Document matching (order–delivery note–invoice) with discrepancy alerts.
  • Escalating payment reminders with configurable tone.
  • Recurring reporting on admin and cash status.

Who it's for

Companies handling a meaningful volume of invoices, orders or collections every month, whose team spends hours moving them by hand between email and the ERP. It's not for "adding AI" without a clear process: if admin is chaotic, first we bring order, then we automate — and we help with that part too.

Admin doesn't sell, but done badly it costs sales, suppliers and cash. On a call we'll tell you which of your processes we'd automate first, and why.

Does this fit your situation?

We review it against your specific case in a 30-minute call. No strings attached.

Frequently asked questions

Which ERPs do you work with?

Our deepest operational experience is with Holded —we use it daily in our own company—, but the same approach applies to other ERPs and management tools with an API. We assess yours on the call.

Which admin processes can be automated?

The repetitive ones with clear rules: registering and classifying incoming invoices, preparing payment and collection batches, document matching (order–delivery note–invoice), payment reminders and recurring reporting. Whatever requires judgement stays with your team, with the information already prepared.

Doesn't my accountant already do this?

Your accountant handles bookkeeping and taxes. This is different: it's the daily admin work inside your company —registering, matching, preparing, alerting— that your team does by hand today and an agent can execute under supervision.

How is the agent controlled?

Every automation has a defined scope: what it does on its own and what it leaves prepared for human approval. Everything is logged, and we always start in review mode until results are validated.
