Quote follow-up and appointment reminders for clinics

Follow-up in a clinic has two concrete jobs: making sure a delivered quote doesn't die in silence, and making sure a booked appointment shows up. Both get lost today for the same reason — they depend on someone remembering — and both can be automated without taking patient contact away from reception.

Where the money leaks in a clinic

  • The quote that's handed over and never followed. The patient leaves with a $4,000 plan and nobody writes for two weeks. They didn't say no; they said they'd think about it.
  • The appointment that's never confirmed. Without a reminder, the no-show is the calendar's largest invisible cost: an empty implant slot can't be recovered.
  • The first visit that doesn't come back. Diagnosis done, treatment explained, and the patient disappears because the next step was left hanging.
  • The check-up nobody asks for. Treated patients who should return in six months and are never reminded.

  1. Quote follow-up. At 3, 7 and 14 days, short messages in the clinic's tone, with the option to ask questions or book. It stops on its own if the patient replies or asks not to be contacted.
  2. Appointment confirmation. Reminders at 24 hours and 2 hours, with confirm and reschedule one tap away. Appointments still unconfirmed at 12 hours are flagged so reception decides whether to call or offer the slot to the waiting list.
  3. Next step after the first visit. If treatment was explained but not booked, a message at 48 hours with the summary and a booking link.
  4. Check-ups and reactivation. Automatic notice when a check-up is due; occasional campaigns to patients with postponed treatments.
  5. Logging. Every message and call is attached to the patient, so anyone on the team knows where each case stands.

Frequently asked questions

How many clinic quotes close without follow-up?

Few. An implant or orthodontics quote is a decision worth thousands that the patient takes home to think about. Without follow-up in the days after, most go cold from inertia, not rejection. Follow-up doesn't persuade: it reminds them the decision is still open.

Do reminders really cut no-shows?

Yes, and it's the cheapest lever a clinic has. A reminder at 24 hours with confirm-or-reschedule, and another at 2 hours. The patient who can't make it says so in time, and the slot is recovered from the waiting list.

Do we have to change the clinic's practice management software?

No. The system connects to the calendar the clinic already uses where possible, and where it can't, it runs alongside with a minimal data load. Changing practice software mid-operation is the surest way to stop the clinic for two weeks.
